# Birthday and work anniversary reminder emails

> Set up reminder emails that tell employees about a colleague's upcoming birthday or work anniversary. Customize the email, delivery channel, and timing.

Celebration reminder emails tell employees ahead of time that a colleague's birthday or work anniversary is coming up. That gives teammates time to post on the colleague's [wish board](/employees/socials/wish-board) before the day. You can turn birthday and work anniversary reminders on separately. For each one, you control the email content, the delivery channel, and how many days in advance Empuls sends it.

## Before you start

* You need admin access to the **Notifications** section of the Admin Dashboard.
* Employees need a date of birth and date of joining on their profile. These usually come from [HRMS sync](/admin/integrations/hris-hrms).
* To deliver reminders through Slack, Google Chat, or Microsoft Teams, connect a [collaboration tool](/admin/integrations/collaboration/slack) first.

## Open celebration settings

1. Click **Reports and Admin** to open the Admin Dashboard.
2. Under **Notifications**, open **Manage celebrations**.
3. Select the **Birthday** or **Work anniversary** tab.

Each tab has one reminder row: **Birthday reminder email** or **Work anniversary reminder email**. The row has a toggle and an **Edit** button.

## Turn on a reminder

    On the **Birthday** or **Work anniversary** tab, turn on the toggle next to the reminder email. The **Enable reminder** dialog opens.

    In the dropdown, select how many days before the event Empuls sends the reminder. The options are **1 day**, **3 days**, **7 days**, and **30 days**. You can select more than one to send several reminders.

    Click **Enable**. Empuls starts sending the reminder for upcoming birthdays or work anniversaries on the days you selected.

If you click **Cancel** in the dialog, the reminder stays off.

## Customize the reminder email

The **Edit** button works only when the reminder is turned on. Click **Edit** to open the editor. It has two tabs, **Email** and **Delivery settings**. A **Live preview** of the email is shown next to the form.

### Email tab

| Field | Details |
| - | - |
| **Banner** | Optional image at the top of the email. Upload a `.jpg` or `.png` file. The recommended size is 1200 × 675 px. |
| **Subject line** | Required. Up to 150 characters. |
| **Header** | Required. Up to 100 characters. |
| **Body text** | Required. Up to 3,000 characters. Select a tone and click **Generate with AI** to draft or rewrite the body. |
| **CTA button text** | Required. Up to 40 characters. |

To personalize the email, click **Insert** and pick a placeholder, such as the employee's first name. Empuls replaces each placeholder with real values when it sends the email. For example:

The list of placeholders comes from the reminder template, so use **Insert** to see the tokens you can use.

### Delivery settings tab

Choose a **Delivery channel**:

| Channel | Where Empuls sends the reminder |
| - | - |
| **Default (All channels)** | Email, push notification, and your connected collaboration tool. |
| **Email only** | The employee's registered email address only. |
| **Only integrated platform** | Slack, Google Chat, or Microsoft Teams only. You can select this only after you connect a collaboration tool. |

You can also change which days before the event Empuls sends the reminder: 1, 3, 7, or 30 days.

Click **Save** to apply your changes. The button stays disabled until the subject line, header, body text, CTA button text, and at least one reminder day are filled in.

## Turn off a reminder

Turn off the toggle next to the reminder email. Empuls stops sending that reminder on every channel.
